As a part of the Global Village experience, each intern will have the opportunity to host an executive visitor or presenter.  Not only is this experience valuable for our guests but it also provides an opportunity for the hosting interns to strengthen their networking and public speaking skills.  Further, this requirement provides an opportunity to have more discussion and exchange with an executive or presenter that may be of significant importance to that intern because of his or her career path and professional interests, existing relationship, personal interests, desire for a mentor and so on…

Interns are expected to follow the day’s dress code when hosting an executive or presenter.

Executive/Presenter Hosting involves five distinct activities:

  1. Executive/Presenter Assignment
  2. Research and Preparation of a Two to Three-Minute Introduction
  3. Meeting, Introducing and Presenting the Global Village Gift
  4. Hosting the executive/presenter during his or her time with the Global Village
  5. Thank You Notes 

 

Executive/Presenter Assignment
Each guide group will be assigned a day to host our visitors.  Guides will advise their intern group of their hosting day or days at the start of the Global Village program. Guides may assign intern hosts at their discretion and will typically ask interns if they have a preference regarding who they may introduce.  A minimum of two interns will be assigned per visitor, to provide the introduction and present the guest with an official Global Village gift.  Assigned interns are expected to share these two activities (introduction and gift presentation) but may divide or combine these activities as they see fit.   We encourage professional yet creative introductions and gift presentations.

Research and Preparation of a Two to Three-Minute Introduction
Each hosting intern team of is expected to prepare a two to three-minute introduction for their assigned visitor including a brief introductory speech and the presentation of a gift.  Background information on our speakers may be found on the Global Village web site where a written biography and statement about the company or organization has been provided.  This information offers basic background from which introductions are developed but in no way does it provide complete information for the hosting team’s speech.  All biographies contain contact information and it is recommended that hosting interns visit the company website and contact the guest via email or telephone to gather additional information about the hobbies, interests, background, or other topical areas not provided in our description.  Keep in mind that the our visitors are typically busy and may not be able to respond on short notice. 

Introductions should provide fellow villagers with additional information about their visitor that is not on the provided biography, whenever possible.  (For example:  My executive works for xyz company and has been in his/her position for 20 years.  Compared to:  My executive has had an exciting career with Xyz Company that during the past 20 years has included travel to this and that country, expansion of his/her career from Y position to Z position, and funding his/her many hobbies including sky diving, cliff diving, and a long standing exploration of the astronomy including black holes in the Gamma solar system. – Of course this is made up but you get the idea that this should be an exciting, entertaining, intriguing, and yes, ACCURATE introduction.)

Meeting, Introducing and Presenting the Global Village Gift
Executive Visitors- On the day of the hosting intern’s visit, the intern team will meet their executive 30 minutes before the start of the session.  Therefore, interns will meet executive visitors at 8:00 AM in room RBC484 (Career Services).  Intern hosts must arrive by 8:00 a.m. so they are present when their executive arrives.  Sherry Buss and your guide will be present.  You will be provided with a gift for your executive visitor.  Intern teams will greet their visitor upon arrival and ask any remaining questions to firm up their introductions.  They will assist with any needs for the guest including audio visual needs, coffee service or other requests.   At 8:20 a.m., the hosting teams will escort their executive to RBC 91 for executive introductions.  Dick Brandt will direct the teams as to the order of introductions.  Hosting intern teams will then address the Global Village with their introductions.  After each introduction, the executive will make a 15 minute presentation to the Villagers.  Following the presentation, the intern team should present the executive with the gift.  This process will be repeated until all executive visitors have been introduced. 

For evening presenters, Washington DC speakers and leadership panelists, interns should arrange a meeting time and place directly with the guest.  Gifts will be provided for these presenters as well. 

 

Daily Hosting
At the conclusion of introductions, intern host teams will escort their executive to their assigned room if necessary.  Upon arrival to the assigned room, the intern host’s should assure that all the visitor’s special requests have been fulfilled.  Once the session begins, intern hosts may depart to their selected session.  Intern hosts are required to attend one of their assigned executive’s sessions. 

If the visitor is with us for more than one session, intern hosts are expected to visit the executive and ensure that any new needs are met. (This may include providing a drink, directing executives to a phone or toilet, or to fresh air for a break).  Following the executive/presenter’s scheduled session(s), intern hosts should return to their assigned visitor executive and see them to their vehicle or out of the building.  If time allows, interns are encouraged to invite the visitor to join them for a meal or attend the next scheduled Global Village event.  If the intern chooses, he or she may provide executives with a business card or a country gift.

 

Thank You Notes 
All hosting intern teams are expected to write a thank you note to their guest.  Thank you notes are to be written, printed, signed and given to the intern’s guide within 48 hours of hosting the visitor.  Guides will mail the letters and standard business protocol for letters applies – see attached.
